Overview and Use
Purpose: This document outlines the process for OmniChannel Hiring Managers when onboarding Contractors through the Optum Technology RFP (Project Summit July 2023 – September 2023). These steps begin once a candidate has been selected for hire in Fieldglass. Fieldglass posting creation steps will be shared separately.
Scope: These steps are specific to the onboarding of Contractors through the Optum Technology RFP job posting template in Fieldglass and are valid through 9/30/2023.

Day 0: Share MSID and Initial Password
Note: These steps are for Day 0 – the day the resource is hired and the Work Order is created in Fieldglass.
- For new hires, Contractor Express will automatically update (next business day) once the Work Order is complete in Fieldglass. The system will automatically create a Secure request to create a new MS ID - you will receive an email confirming completion.
- Follow the request ID link in the email to obtain MSID & initial password for the new resource.
- For rehires, resources should already have an MSID and password. This includes contractors with a non-approved vendor hired by an approved vendor. If needed, see How to search for an MS ID below.
Day 1: Submit New Hire Requests
Note: These steps should be followed on Day 1 – the day after the Work Order is created in Fieldglass.
Get Employee ID
- Obtain the 9-digit contractor’s ID from Contractor Express in GSS. This is the same as an Employee ID.
Submit a request for PPM Optics
- Submit Secure request for PPM Optics:
- In Secure, at the top of the screen click Others Access
- Click Request New Access
- Paste/Enter the Contractor’s EEID in the Employee ID field and click the magnifying glass icon
- Click on the Full Name that is returned and click OK
- Click Application and click Next
- Enter PPM Optics in the search, select the PPM Optics that is returned and click the Next
- On the next page click the Next button
- Under User IDs, click Create New User ID and click the Next button
- Expand Optum Technology & Idea Requestors section, select Team Member and click the Next
- Enter description for why access is required: Time Entry
- Click Submit
Note: Submit new hire requests based on location
US-based resources only New Hire Onboarding Portal Case Creation
- The New Hire Onboarding Portal will attempt to create a New Hire Case for you automatically. You will be sent an email with a link to the new case, which walks through the steps to get your new hire set up.
- In the event a case could not automatically be created, you will still be sent an email which will include how to create a case manually.

Other notes:
- Laptops are generally Standard, Wired mouse, One-Ear Wired Headset
- BSL for OmniChannel = Joan Ormes
- You will receive UPS tracking info for hardware that is shipped.
Non-US-based resources only individual requests
- For outside of the US, a new hire case will not automatically be created, and you will not receive an email from the New Hire Onboarding Portal.
- Below are the steps to creating the necessary requests, based on location.
India, Europe, Philippines
- Offshore resources will require a VDI build. You will also need to request an email address.
- Submit Secure request for MyVDI. This grants access to portal, the VDI machine will be requested once MyVDI access request is complete (usually next day).
- In Secure, at the top of the screen click Others Access
- Click Request New Access
- Paste/Enter the Contractor’s EEID in the Employee ID field and click the magnifying glass icon
- Click on the Full Name that is returned and click OK
- Click Application and click Next
- Enter MyVDI in the search, select the MyVDI that is returned and click the Next
- On the next page click the Next button
- Under User IDs, click Create New User ID and click the Next button
- Choose Windows 10 Production (Tech Hub)

Day 2: Complete Provisioning and Communication Tasks
Note: These steps are dependent on Day 1’s tasks being completed (e.g., for Offshore – MyVDI access is complete).
Create VDI Machine (Offshore Only)
- Order a VDI
- Go to https://console.hcp.uhg.com and click Virtual Desktop Infrastructure (VDI)
- Select Windows 10 Production Delegate
- Start Now
- Enter MSID for resource and select from dropdown
- Reason for Request - enter MSID, Resources Name
- Click Yes to agree to rules of use and submit
- You will receive an email from
Optum - No Reply [email protected]once the machine has been provisioned - Capture the VM name and Connection Server (you will need to add the word remote to the server name) e.g., MyVDIremote-CTC.uhc.com OR myVDIremote.uhc.com
- Share the document ‘How to log into MyVDI using Azure MFA’ to the resource’s external email address (not Optum email) along with machine name and connection server name, as well as the MS ID and temporary password – see next step.
Share Onboarding Details with Resource (Non-US Offshore)
- Provide the details below to the new resource, along with VM Name and External Connection Server info. Include your vendor contact/coordinator on copy.

- After their initial login (passcode is Contractor ID minus the last digit), they will be prompted to enter a new passcode. Follow normal Help Desk procedures or utilize the support options below.
How to search for an MS ID
- Through Secure with an Employee ID:
- Go to Others Access > Employee Detail at top right
- Enter the Employee ID and click Search
- Double-click the employee row
- Go to Request History
- Find the MS User ID request and click to open to display the MS ID and Initial Password
Share Onboarding Details with Resource (US Onshore)
- Provide the details below to the new resource, along with tracking information for their laptop. Include your vendor contact/coordinator on copy.
